Registering Players

Each club should have a head club registrar who is responsible for ensuring all participants: players, coaches, referee's and administrators are in the AIMS system used by the OSA.

Please keep in mind that Soccer Northwest has already entered over 95% of your players information into the system already, this means that you won't have to input any data except first year players. The AIMS system keeps record of all individuals in a club for a two year period so that information will be there year after year.

A registered player, coach or administrator is only officially registered as a part of your club when they have completely filled out the proper form, been entered into the OSA's AIMS system and the form is in at Soccer Northwest. It is very important to get the forms into SNO before the beginning of the indoor or outdoor season. Registered clubs and individuals enjoy all the benefits of membership in the OSA such as: Insurance, Coaching Instruction, Referee Instruction, Provincial Team Access, Ontario Cup Tournament, Communication via AIMS Programs and more. The AIMS PROGRAM is the beginning of the whole process: The purpose of the registrar program is to give your club organization and structure with respect to your club leagues, divisions, teams and players. Basically its putting form and an infrastructure to your club. With all the division, league, team and player information structured properly it makes organizing and running your leagues much easier and enjoyable.

The data when organized properly is used by the AIMS program to allow you to assign fields, referees, games schedules etc. At the same time all the specific standings and division information is also broadcast out onto your club Website for anyone to access. You completely control what is broadcast to the public through the AIMS program also a part of the system. There are too many other benefits within the AIMS program to list here, just one for example are customized registration forms.

START: SIMPLY FILL IN THE INFORMATION AS IT PERTAINS TO YOUR CLUB

FIRST SELECT CATEGORIES --- Registering your players is a simple process once you have your league structure decided upon. Your club will have a range of players,the youngest could be under 6 and the oldest could be 65+. Each club selects their different age categorie from the SELECT CATEGORIES section of the AIMS program. These categories are selected based on what age divisions your clubs leagues are going to be using. For example if you have a group of teams that fall into Under 8 Mixed then you would select that category, you have a recreational senior mens division/league then you select Senior Mens Open Rec. This way you specifically decide the exact structure of your club.

SECOND SETUP DIVISIONS --- This section divides up the player categories into divisions or leagues. For example Mens League, Womens League, U10 Girls, U8 Boys, U6 Mixed, Over 35 Mens etc. These Divisions usually match up exactly with the age categories of your club, the difference is that at this point you can name them accordingly. For example the HAPPs Mens League (Open Men REC) is the senior mens soccer league in Kenora, apart of the Lake of the Woods Soccer Club.

THIRD SETUP TEAMS --- This section is where you assign specific teams, and register a team within its specific division along with its age category. This is important because this is how you'll register the players, by category and team, see section four. Whichever teams are in a league/division are entered here and given a team number by you, eg. 01, 02, 03 etc.

FOURTH REGISTER EXISTING MEMBERS --- Very fast and easy once you get going, arrange the forms into their groups by team and division. Do this step only once for each player. Each team must be formed from the registration process at some point in the organizing of your leagues, at this point, when the teams are made up, they should also be registered directly into their CATEGORY and TEAM. You select the category and team tab at the top of the Register Existing Members section and make sure the yearly dates match up. This is where you enter players officially into the system and directly into their place within your club structure/AIMS League Manager. You select the team, division and age category, the program then lists all players that fall under those parameters. You simply check the REG box with the mouse for the players on that team and hit the register button and they're automatically done. Then send in the forms to SNO. Remember to only register your players once so you don't get billed more than once.
